Element One Gaming ("we", "us") runs this website and the Element One Gaming Discord server. This policy explains what information the website collects, why, and what you can ask us to do with it. We keep it to what the site actually does.

What we collect

When you log in with Discord. Discord tells us your Discord user ID, your username or display name, your server nickname, your avatar, and which roles you hold in the Element One Gaming server. We use this to confirm you are a server member, to show your name and avatar on the site, and to recognize staff. We do not ask for your email address and we never see your Discord password. We do not store the access token Discord gives us; it is discarded as soon as the login finishes. Your login lasts up to 7 days, or until you log out.

Squad posts. When you post in Find a squad we store the game, play mode, platform, number of players needed, gamertag, time and note you enter, and when you posted. If you were logged in, we also store your Discord ID and name with the post. Posts are public on the site, and each one is also sent to our Discord server through a webhook. Posts disappear from the site after 48 hours.

Forums. The Forums page shows posts from our Discord forum channels. We do not keep a copy: the site reads them from Discord when you view the page and keeps a short-lived cache (a few minutes, up to an hour for post previews) so pages load quickly. You must be logged in with Discord to read them. When you post or reply from the site, your text is sent to Discord through a webhook and appears in the forum under your Discord name with “(via website)”, with a link to your Discord account, exactly as if posted there. Forum posts are governed by Discord and stay on Discord until a moderator or you remove them there.

Event RSVPs. We store the gamertag you enter (or your Discord name if you are logged in) and, if logged in, your Discord ID. We use it to count attendance and stop duplicate sign-ups.

Applications. If you apply to join we store your gamertag, Discord username, platforms, games, availability and any message you write. Only staff can read applications, and they may be copied to a private staff channel on Discord.

Spam protection. To limit abuse we count how often a visitor posts. For that we keep only a one-way scrambled version of your IP address (a hash, not the address itself) for up to 24 hours.

What your browser stores

• A login cookie named eog_session, which keeps you logged in. It is needed for login to work.
• Local storage on your device: the gamertag you typed, and private codes that let you cancel your own RSVPs and remove your own posts. You can clear these any time in your browser settings.

We do not use advertising or analytics trackers, and we do not sell or rent your information.

Other services involved

• Discord handles login and receives the squad posts and applications we send to our server. Discord's own privacy policy applies to your use of Discord. Your avatar is loaded from Discord's servers.
• Google Fonts supplies the website's fonts. Your browser requests them from Google, which can see your IP address.
• Our web host stores the site's data and may keep standard server logs.

How long we keep things

• Squad posts: removed from the site after 48 hours, and cleared from storage soon after.
• Login sessions: up to 7 days.
• Forum cache: minutes to one hour; the posts themselves live on Discord.
• Spam-protection hashes: up to 24 hours.
• RSVPs: until the event is removed by staff.
• Applications: until staff delete them.

Your choices

You can log out at any time, remove your own squad posts, and cancel your RSVPs. To see, correct or delete other information we hold about you, such as an application, message a staff member in our Discord server and we will take care of it. Messages you post in Discord itself are governed by Discord and by our server rules.

Age

This website is not meant for children under 13, and you must be old enough to use Discord where you live. If you believe a child has given us information, tell staff and we will delete it.

Changes and contact

We may update this policy and will change the date above when we do. Questions or requests: contact a staff member in the Element One Gaming Discord server.
